Create and manage a project
A project turns an accepted or signed proposal into a tracked job. Create it from the proposal to keep the work organized: a task list and timeline built from the proposal's selected line items, the job's status, and the proposal and contract documents for the job.
What a project is
A project is an accepted or signed proposal that you've turned into a tracked job. It keeps everything for the job in one place — the crew's task list and timeline, the project's status, and the proposal and contract documents. A proposal becomes eligible to become a project once its status is accepted, partially signed (the client signed and your countersignature is pending), or signed.
When a proposal is accepted or signed, Apropos sends you a notification that links to the project page. See How notifications work in Apropos for what those notifications do.
Create a project
Create a project from an accepted or signed proposal to start tracking the job. If a project already exists for the proposal, the button reads View Project instead.
Open the accepted or signed proposal in the editor.
Click Create Project. Apropos marks the proposal as a project and opens its project page.
After you create it, the project appears in the Projects list and you can manage its status, tasks, and documents from the project page.
Find a project in the list
The Projects page lists your active and completed projects so you can open one by name, client, or status. It's also where the dashboard's Projects tab and All projects link take you.
Search by project name, client name, or client company.
Filter by status to show Not Started, Started, Paused, or Closed projects. Closed projects are hidden by default; choosing a status filter replaces that default.
Switch between Table view and Tile view. The table shows Name, Client, Project Status, Proposal Status, and Start Date, sorted by start date ascending.
The list also shows summary counts for Active projects, Work in flight, Avg. project value, and Closed.
Set the project status
Track where a job stands by setting the project's status on its detail page. Project status is separate from task status: the project is Not Started, Started, Paused, or Closed, while individual tasks are Upcoming, In progress, or Done.
Open the project and use the status selector on the detail page.
Choose Not Started, Started, Paused, or Closed. Apropos saves the change and confirms Project status updated.
If the update fails, Apropos shows Failed to update project status.
Work through the tasks and timeline
The Tasks & timeline tab turns each selected line item on the proposal into a timeline item, so the crew's work plan comes straight from the proposal you already wrote. Only line items marked selected on the proposal appear, in their proposal order.
Each item's internal task content comes from the line item's internal task list, or from its related service blueprint's internal task list as a fallback. If neither has content, the item shows No internal task list defined for this item. See Add a product or service to your catalog for where that task list lives on a catalog item.
Task status is calculated from each item's start and end dates, which come from the line item's turnaround time: a task whose end date has passed is Done, one whose start date is in the future is Upcoming, and anything in between is In progress. You can override a task's start and end dates with the calendar controls, and a saved override takes precedence over the calculated status.
To hand the plan to the crew, click Print Task List, select the items to print, and click Print. Print stays disabled until you select at least one item.
Review documents and counter-sign the contract
The Documents tab holds the documents generated automatically from the project's proposal and contract. The proposal document appears once a PDF exists for it, and the contract tile appears only after the contract has been signed.
The contract status on the project page is Not signed before anyone signs, Awaiting countersignature when the client has signed but you haven't, and Fully executed once your countersignature exists. When countersignature is required, the project page shows Counter-Sign Contract: type your full name and click Sign Contract to finalize it. The button stays disabled until you enter a name, and Apropos confirms with Contract counter-signed successfully.
