Set up default proposal wording
Set up boilerplate wording for your proposals — the overview, payment schedule, terms and conditions, and next steps — once in Settings, and every new proposal you create starts pre-filled with it. Only an organization admin can change these defaults, and you can still edit any of the copied text on an individual proposal before you send it.
Where the defaults live
The four default fields are in Settings under the tab named after your current document term (initially Proposals). The card is called Default proposal content and reads "Pre-fills the narrative sections of every new proposal. Edit any of it per proposal before sending."
Open Settings from the admin sidebar.
Open the tab that shows your current document term (initially Proposals).
Scroll to the Default proposal content card.
Only admins can access Settings. If you don't see the Default proposal content card, ask an admin on your account to make the change.
The four default fields
Each field is a rich-text editor that supports bold, italic, headings, bullet lists, and ordered lists.
Overview — the opening summary shown at the top of the proposal.
Payment schedule — how and when the client pays, shown in the pricing section.
Terms and conditions — the general terms and conditions for the engagement.
Next steps — the closing call-to-action before the signature block.
Each field saves independently: edit one and click its Save button. Saving one field doesn't save the others.
How the defaults are used
Defaults are copied into a new proposal. Changing a default in Settings does not rewrite proposals you've already created — it only changes the source used for new blank proposals.
If your organization hasn't saved a value for a field, Apropos supplies built-in fallback wording for it. These are generic starting points, not legal or financial advice, so review them before sending.
Edit wording on an individual proposal
After defaults are copied in, the four sections are ordinary proposal content you can edit per proposal before sending. Changes you make on the proposal are saved to that proposal only and don't change your organization defaults.
