Proposal settings
Toggle flags control what your clients see on a proposal and what happens when they accept it. You set them at two levels: organization-wide defaults in Settings, and per-proposal overrides in the proposal editor. When a proposal has its own value, that value wins over the organization default.
Set organization-wide defaults
Global toggle flags live in Settings under the tab named after your current document term (initially Proposals), and only an organization admin can change them. They set the default that new proposals start with.
Open Settings from the admin sidebar.
Open the tab that shows your current document term (initially Proposals).
Set Show item images by default to control whether new proposals show each line item's image. New proposals show the image unless you turn it off for that specific proposal.
Set Proposal number format to Prefixed, Plain, or None. Prefixed is the default, and None hides the proposal number.
Both settings save the moment you change them — there is no Save button.
Separately, in Business Profile, the Show on proposals toggles control whether your address, phone, license number, website, and email appear on your proposals. These are global only and have no per-proposal override; each is off by default.
Only admins can access Settings. If you don't see these controls, ask an admin on your account to make the change.
Set per-proposal toggle flags
The per-proposal toggles live in the Proposal Settings panel on the right side of the proposal editor. They apply to that proposal only and are editable only while the proposal is a draft.
Open the proposal in the editor.
In the Proposal Settings panel, set the options for this proposal:
Proposal number — choose Prefixed, Plain, or None. This overrides the organization's number format for this proposal.
Show individual prices — on by default. Turn it off to hide each line item's price; the proposal total still shows when the proposal has line items.
Show item images — overrides the organization's Show item images by default setting for this proposal.
Generate contract on acceptance — on by default. Turn it off so the client can only view and print the proposal after accepting, and no contract is created.
Each change saves immediately. See Customize your contract template with merge fields for what happens when Generate contract on acceptance is on.
How per-proposal overrides work
Each toggle resolves in this order: the proposal's own value if one is set, then the organization default, then a built-in default. A per-proposal value of either on or off overrides the organization setting.
Changing an organization default affects only proposals that don't already have their own value for that toggle. It doesn't rewrite proposals you've already created, and a per-proposal change doesn't change your organization default.
See Set up default proposal wording for the related organization defaults that pre-fill a proposal's narrative sections, and Add a product or service to your catalog for the client-facing content that travels with each line item.
