Connect QuickBooks
Connect QuickBooks from Settings to import your services and customers into Apropos, then create estimates and invoices in QuickBooks from accepted proposals. Only organization admins can connect, and your plan must include accounting software sync — on the public plans that's Pro (one-way sync) or Premium (full two-way sync).
Before you start
You need an active QuickBooks company to authorize through Intuit, and you must be signed in as an organization admin. Non-admin users are redirected to the dashboard and can't open Settings.
QuickBooks is optional. You can enter catalog items by hand and you can connect QuickBooks later when your plan includes it.
Connect your QuickBooks account
The connection runs through an Intuit authorization popup. If your browser blocks it, allow pop-ups for this site and try again.
Open Settings and select the Integrations tab.
Find the QuickBooks card. It shows Not Connected until you connect.
Click Connect QuickBooks. Apropos opens an Intuit authorization page in a popup.
Sign in to Intuit and authorize Apropos to access your QuickBooks company.
Return to Apropos. The card now shows Connected, your Company ID, and Last synced, and Apropos starts syncing your catalog.
If your plan doesn't include accounting software sync, clicking the connection control opens an upgrade dialog instead of starting the authorization. Upgrade to a plan with accounting software sync, then connect.
Run a sync
Connecting starts a full sync automatically. After it finishes you'll see a message with the number of services and customers imported, or No items to sync if QuickBooks has nothing to bring over.
In Settings, use Sync All to re-run a full sync, or Disconnect to unlink QuickBooks.
In Products & Services, use Sync from QuickBooks to import or refresh your services.
In Contacts, use Sync from QuickBooks to import or refresh your customers.
What syncs from QuickBooks
The sync imports QuickBooks services, non-inventory items, inventory items, and groups into your catalog, and imports your QuickBooks customers into Contacts. Names, descriptions, default prices, and item images come across, along with customer names, emails, phone numbers, company names, and addresses.
While connected, catalog fields and contact fields that come from QuickBooks are managed by QuickBooks and can't be edited in Apropos. Disconnecting makes them editable again.
Create documents in QuickBooks
On a proposal that's accepted or signed, you can create the corresponding estimate or invoice in QuickBooks. The proposal actions show Create Estimate and Create Invoice once the proposal is locked and a customer is linked. Apropos creates the QuickBooks customer, estimate, or invoice and attaches the proposal PDF and signed-contract PDF when available.
Reconnect an expired connection
If your QuickBooks connection expires, Apropos shows a message that the connection has expired and a Reconnect action. Reconnect through Settings to continue syncing and creating documents.
