Add a product or service to your catalog
Add a reusable product or service from Products & Services so you can use it in proposals again and again. Each item you create becomes part of your price-list catalog, and you fill in the details the client sees and the details only your team sees in two separate tabs.
Create the item
Open Products & Services, click New item, and complete the New item sheet. You can also start the same sheet from the Dashboard's Add item shortcut.
Open Products & Services.
Click New item.
Enter a Name. This is required to create the item.
Enter a Unit price. This is a number, and a blank or invalid value is stored as 0.
Choose a Type. It defaults to Service, and the options are Service, Product, Inventory Product, and Bundle.
Optionally add a Description for your own reference.
Click Create item.
When the item is saved you see the confirmation Item created, and Apropos opens the item's detail page. If saving fails, the message Failed to create item appears. The initial form is intentionally brief — you add detailed scope, deliverables, and contract wording after creating.
Fill in the Internal tab
The Internal tab holds the fields only you and your team see, and it's the default view when you open an item. These never appear on a proposal.

Internal Task List — the instructions your crew follows. Only you and your team see this; it's never shown to clients, and it's used to generate the job task list when the proposal becomes a project.
Fill in the What clients see tab
The What clients see tab holds the content that shows up on every proposal that includes this item. These fields are lifted onto the proposal and rendered to the client.

Deliverables — one bullet per line, pasted straight onto the proposal.
Contract rules — drop-in language for the contract section of every proposal.
On the proposal, each of these client-facing sections is shown only when it has content, so you can leave a section blank to hide it. The item's price appears on the proposal as the line-item price.
Keep internal notes out of the What clients see tab. Anything you put there is sent to the client on every proposal that includes the item.
How the item is used
A catalog item becomes a line item when you add it to a proposal. The proposal copies the item's default price at the time you add it, and the line item has its own price and quantity.
Adding an item to a proposal is separate from creating it. The catalog flow creates a reusable item only; it doesn't add the item to a proposal automatically. To bring in existing items from accounting instead of typing them, connect QuickBooks and sync — manual creation doesn't require QuickBooks.
